In short: A sales territory handover is the orderly transfer of a field rep's customer portfolio, open work and responsibilities to another rep. A good handover passes on the customer list and visit days, open collections and orders, van stock and cash, promises made to customers and visit notes; the new rep makes the first visits together with the outgoing rep, and customers are told about the change in advance.
When a rep leaves, moves to another territory or goes on long leave, the biggest risk is that the knowledge leaves with them. Which shop owner pays on which day, who stopped buying a product and why, what was promised to whom: this often lives only in the rep's head. Without a plan, the new rep has to learn it from customers one by one, and customers get tired of explaining themselves from scratch.
What is a sales territory handover?
A sales territory handover is the transfer, on a set date, of responsibility for a territory's customers, open work and field assets from one rep to another.
Handovers come up in three situations. In a permanent handover, the rep leaves the company or moves to another territory. In a territory realignment, customers are redistributed across new routes. In a temporary handover, a territory is covered by another rep for a while because of leave, illness or training. The goal is the same in all three: customers should keep getting service without feeling the change.
6 things to hand over
1. Customer list and visit days
Hand over each customer's visit day, visit frequency and position on the route. A new rep who does not know how the route was built drives unnecessary kilometres in the first weeks. We explain route logic in our article on field sales route planning.
2. Open collections, cheques and notes
Overdue invoices, upcoming cheque and note due dates and payment arrangements agreed with customers belong at the top of the handover list. How to keep collection data in the field is covered in our article on field sales collection tracking.
3. Open orders and returns
If undelivered orders, pending returns and unresolved price differences are not passed on, customers have to explain the same issue to the new rep again.
4. Van stock and cash
In teams that sell from the van, the goods in the vehicle should be counted and compared with system stock, and the cash and collection receipts reconciled. How van stock is managed is explained in our article on hot selling and van sales.
5. Promises and special agreements
If a sample, a display arrangement or a special condition approved by head office was promised to a customer, it must be handed over in writing. An unknown promise damages the new rep's credibility in front of the customer.
6. Visit notes and contacts
Who decides on purchases, who places the order, who pays? The names and roles of these people and the latest visit notes are the most valuable part of the handover. What to record on each visit is covered in our article on the field visit report.
How do you run a sales territory handover step by step?
1. Set the handover date and owner
Agree the start and end date, the outgoing and incoming rep and the manager who will follow the process. For a temporary handover, write down the return date as well.
2. Prepare the handover list
Turn the six items above into a list per customer. The list should be based on system records, not the outgoing rep's memory; the rep only fills the gaps.
3. Visit together
If possible, the outgoing and incoming rep should visit the key customers together. A face-to-face introduction makes it easier for the customer to trust the new rep.
4. Sign off stock and cash
Van stock, cash and collection receipts should be counted and recorded in front of both reps and the manager. A handover without reconciliation leads to arguments later about who is responsible.
5. Update assignments and access in the system
Customers and routes should be assigned to the new rep, and a departing rep's app and device access should be closed. Because customer contact details can include personal data, closing access on time also matters for data protection; for the current rules in the EU, see the European Commission's data protection page.
6. Tell the customer
Customers should learn the new rep's name and contact details before the handover. An unannounced new face creates trust problems, especially in payment conversations.
What to watch in a temporary handover
In short handovers the transfer can be lighter, but it should not be skipped. The covering rep visits this territory on top of their own, so the route has to be replanned. On return, the same list is used in reverse: orders taken, collections made and promises given during the cover period are passed back to the original rep.
Common mistakes
Leaving the handover to the last day: A handover on the departing rep's last day is rushed, and topics like collections and promises are skipped.
Passing information on verbally: Verbal information is forgotten within weeks. The handover list should be written and organised per customer.
Skipping reconciliation: If stock and cash are not counted, responsibility is unclear when a difference appears.
Leaving access open: If the departing rep's app account stays open, there is a risk of unauthorised access to customer data.
Preparing for territory handovers with S-Leader
In the S-Leader field sales app, field teams are tracked on a map and on-site activity is monitored through the web-based BackOffice. Account balances and overdue and upcoming collections are visible in the field; cheque and note due dates are calculated automatically. Daily visit routes are generated automatically and route compliance is reported. Text and voice messages within the team can be tracked from BackOffice, and urgent announcements go out as push notifications. S-Leader integrates with Logo and Mikro ERP. That way, most of the handover list comes from system records rather than the rep's memory. At ÇAP Teknoloji, we plan your handover process together with your team. For a free demo, get in touch.
Summary
A sales territory handover should let customers keep getting service without feeling the change. Hand over the customer list, open collections and orders, van stock and cash, promises and visit notes in writing. Visit together, sign off the reconciliation, update assignments and access in the system, and tell customers in advance.
Sıkça Sorulan Sorular
How far in advance should a territory handover be planned?
It depends on the size of the territory and the reason for the handover. What matters is that the handover list, joint visits and the stock and cash reconciliation are completed while the outgoing rep is still in the role.
What should the handover list include?
Per customer: visit day, open collections and cheques or notes, open orders and returns, van stock and cash status, promises and special agreements, contacts and the latest visit notes.
When should a departing rep's access be closed?
Once the handover is complete and the reconciliation is signed off, the rep's app and device access should be closed without delay. Because customer contact details can include personal data, this step also matters for data protection.
What is the difference between a temporary and a permanent handover?
In a permanent handover, customers and routes are fully assigned to the new rep. In a temporary handover, the territory is covered for a while, and on return the work done during the cover period is passed back to the original rep.
